How to compare supplier quotes without mixing terms
A practical comparison checklist covering quantity basis, currencies, trade terms, sampling and missing costs.
Make the specifications comparable
Compare quotes for the same material, dimensions, quantity, packaging and customization. Keep alternative specifications in separate rows. A cheaper quote for a different product is not evidence of a better supplier.
Keep currencies and trade terms explicit
Record the quoted currency and named trade term with its location. EXW, FOB and DDP can cover different obligations and costs. Do not rank prices as landed cost until the same destination and cost scope are confirmed.
Separate known costs from questions
List tooling, sample fees, packaging, freight, duties and taxes separately. A missing amount is unknown, not zero. Keep any buyer estimate separate from the supplier’s words and record the date and basis of an exchange rate if you use one.
Preserve the original reply
Keep each extracted term linked to its source answer and date. Ask for clarification when prices depend on a variant or volume tier. Confirm quote validity and whether lead time starts after payment, artwork approval or sample approval.
